Argideen Vale Lawn Tennis & Croquet Club
 
(Updated Rules 2009)
 
1.
The Club shall be open to members during the season on Club Days ; Tuesdays & Saturdays from          2.30pm-8.00pm, practice day on Sunday from 2.30pm. Thursday will be considered a special Junior Day, with coaching in July & August.
The Club may be privately hired by a Family or Single Member on Wednesdays, Sundays or Mondays by special arrangement with the Hon Secretary, and on payment of the current charge.

A Member may be elected to the Club under the following headings:
a) Family Member(children of Family Members are entitled to play under Family Membership until they marry)
b) Single Member.
c) Junior Member (under 18 non voting)
d) Holiday Member.(Temporary, non voting)
e) Honorary Life Member.
The Committee shall have the right to close all or any of the above categories of members. Such declaration to be confirmed or nullified at the AGM.
 
The Election of a Member shall be done by ballot of the Committee. Each candidate shall be proposed and seconded by a member to whom that canditate is personally known. The Hon Secretary shall place the names and addresses of the canditate on the notice board, together with the names of the proposer and seconder at least two weeks before the Committee Meeting at which they are to be considered for membership. Not less than six members of the Committee should be present before a canditate is elected. a canditate shall be elected on a two-thirds majority to those present.
 
A candidate shall not be deemed a member until notified of his/her election in writing from the Hon. Secretary and until the subscription for the year has been received by the Hon. Treasurer. If a candidate fails to be elected the decision of the Committee shall be final for a period of one year after which that candidate may be resubmitted for election.
 
The proposer and seconder of a candidate will be responsible for the payment of that candidate's first years subscription. Candidates whose names are up for election may use the Club as guests of the proposer free of charge.
 
Guests:Members(excluding Holiday Members) may invite guests to the Club subject to payment of the current charge. No visitor shall be permitted to be a guest on more than three occasions in the season.
A Family Member has the priviledge of having as his or her guest free of charge, a close relative residing in his or her house at the time.
Members and guests bringing dogs must keep them under proper control, and small children must be in the care of an adult at all times.
Members must ensure that their guests sign the Visitors Book and that they add their own signatures before their guests commence play.
The Committee ( which for the purposes of this rule may consist of two members of the committee) shall have the descretion to allow non-members to play for a fee.

Membership subscriptions become payable on June 1st of each year. Details of all such subscriptions for the current year shall be sent to each member and posted also on the notice board by the Hon. Treasurer, together with the Guest Fees and other charges.

The Officers of the Committee shall be elected at the Annual General Meeting and shall consist of a President, a Vice-President, Hon. Treasurer, Hon. Secretary, Hon. Ground Secretary,three members representing tennis and three members representing croquet. the President shall act as or appoint a Chairman.
The Committee shall have the power to co-opt any member for a special reason, such as a member to vote and act only for that purpose.Six members of the Committee shall form a Quorum. In case of equality the President shall have the casting vote.
The Chairman & Secretary shall have the power to appoint sub-committees for special purposes.

The players attire shall consist of tennis clothes which shall be all white in colour and tennis shoes. Croquet players must wear shoes without heels when on court. The Committee may grant special permission for low heels to be worn to overcome a physical infirmity if they are satisfied that no serious damage will be caused ,to the grounds, by them. Spikes must not be worn. The Committee shall have the discretion to excuse a visitor from the above rule.
 
On Club days players concluding a set of tennis will vacate the court for a period of five minutes before starting a fresh set. When players are restarting they should attempt to include other players in subsequent play.On Club & Practice Days except Thursdays adult players have preferance in the use of the courts except Court 6 which shall be reserved for Junior play and which they shall use in accordance with these rules.
 
When adult players are waiting, a junior may play on one of the other courts only if invited by an adult to join a set.
When players are waiting for courts, singles must not be played.
In the case of Croquet, the court will be vacated at the end of 13 hoops or 1 hour, whichever is shorter, for a period of 5 minutes before commencing a fresh game with the same players unless another court is available, the Committee being empowered to vary the second clause if necessary.
 
Should a match be arranged to take place on a club day, 3 tennis and both croquet courts will be reserved for the purpose if required. On days on which tournaments are being played all courts will be reserved for that purpose.

The Committee shall elect one member to act as a Tea Host/Hostess on each club day except during tournaments. It is the duty of this member when so elected to host the tea and will be responsible for providing an assistant to supervise children's Tea. On Club Days members will bring sufficient food for themselves and their guests. All such food will be handed in to the Tea Host/Hostess and teas will be served 4.30pm-5.30pm. The members responsible will have the priviledge of inviting any guests they may wish on their Tea Day free of charge. During Tournaments , a Committee will be appointed to take charge of Teas and other meals required. There will be a fixed charge for those meals at these times.

The Committee of Argideen Vale Lawn Tennis & Croquet Club is empowered to decide to hold the Annual General Meeting in the month of September or October as it sees fit.

Notice for the meeting shall be sent to each voting member at their last notified address not less than three weeks in advance of the date. The Agenda for the meeting shall be furnished to those entitled to attend in advance of the meeting.
Motions to be put before the AGM must be made in writing to the Hon Secretary, no later than two weeks prior to the date of the meeting, and must be signed by a proposer and seconder. Motions shall be decided by a majority decision of those present and voting. A requisition signed by not less than six members shall have the power to call a General Meeting, such notice to be sent to the Hon Secretary, giving the reasons for calling such a meeting and when so requisitioned the Hon Secretary shall call a meeting in accordance with the rules set out above for the AGM.
No alteration of these rules shall be made except at an AGM or General Meeting. Notice of such proposed alterations to be sent to all voting members along with notice convening the meeting.
The Club shall not be dissolved except at a General Meeting called for that purpose and then only by a two-thirds majority of the voting members present.
 
8.
The Ground secretary has ultimate control over which courts are to be played on during Club Days, Coaching Days and Practice Days. If a net has been lowered or removed from the court it must remain so.
 
9.
If any member is in persistent breech of these rules, the Committee shall have the right to take such action as it sees fit, which includes suspending that person from membership indefinitely.

Insert into the Constitution- Policy Statement from Tennis Ireland, The Code of Ethics and Good Practice For Children's Sport, which states: "The Club is fully committed to safeguarding the well-being of its members. Every individual in the club should, at all times, show respect and understanding of their rights, safety and welfare, and conduct themselves in a way that reflects the principles of the Club and the guidelines contained in the Code of Ethics and Good Practice for Children's Sport in Ireland".
